Where AI automation actually pays off for a small business

"Can AI help with this?" is almost always the wrong first question for a small business. The better one is: where is a person currently doing repetitive, rule-based work that a system could do instead, freeing them for the parts of the job that actually need a human?

Where it pays off fast

  1. Inbound message triage — sorting/tagging/routing incoming WhatsApp, email, or form submissions before a human ever reads them.
  2. First-draft generation — quotes, follow-up emails, social posts — where a human still reviews before it goes out, but isn't starting from a blank page.
  3. Data entry between systems that don't talk to each other — the unglamorous but high-value case.

Where I steer people away from it (for now)

  • Anything customer-facing with zero human review, where a wrong answer costs more than the time saved.
  • Anywhere the "automation" would just be hiding a process that's actually broken and needs to be redesigned first, not automated as-is.

The pattern that works: automate the boring middle step, keep a human at the start (deciding what matters) and the end (approving what goes out).
